Terms of Service

Last updated: 1 October 2026 · Pario Digital, Accra / Nungua, Ghana

These terms cover your use of RHEKIAN ERP and related services provided by Pario Digital. By creating an account or using the product, you agree to them.

1. The service

RHEKIAN ERP is a web application that helps companies manage clients, invoicing, accounting and people basics in one workspace. Retail plans add stock control and a till for companies that sell products. Features available to you depend on the plan you choose after the trial.

2. Trial

New accounts may use a 14-day free trial. No card is needed to start. The trial covers both plan families, Services and Retail, including stock control and the till, at the highest Retail limits, so you can try the product before you choose a plan. When the trial ends, you choose a plan to continue. If you do not choose a plan, we keep your records for a limited period as described in clause 5, and during that time you may not be able to add or change records. If you tried shop features and then choose a Services plan, your stock and sales records are kept and can be viewed and exported, but new sales and stock changes need a Retail plan (clause 4). We may change the trial length or who can have a trial for new accounts, by giving notice on our site.

3. Plans, prices and billing

3.1 RHEKIAN ERP is offered in two plan families. Services plans (Starter, Growth, Business) are for companies that provide services and cover clients, invoices and accounting features as described on our site. Retail plans (Retail Starter, Retail Growth, Retail Business) are for companies that sell products. Each Retail plan includes everything in the matching Services plan, plus stock control and a till. Each plan has limits, such as the number of shops, tills, products and staff logins, shown on our pricing section.

3.2 Prices are in Ghana cedis (GHS) and are billed in GHS only. Subscription fees are paid at checkout, which is handled under its own terms.

3.3 Plans are billed monthly until you cancel. We may update prices, limits and what each plan includes by giving reasonable notice before your next renewal. A change takes effect at your next renewal.

3.4 Pricing and what each plan includes are described on our site and in the product.

4. Changing or cancelling your plan

4.1 Upgrading. You can move from a Services plan to a Retail plan, or to a higher plan, at any time. The new features start straight away. We charge the difference between the two monthly prices for the days left in your current billing period. Your billing date does not change.

4.2 Downgrading. You can move from Retail to Services, or to a lower plan. The change takes effect at your next renewal date, never immediately. Until then you keep everything you paid for. We do not refund or credit any part of a period you have already paid for. You can cancel a scheduled downgrade before the renewal date.

4.3 Your records on a downgrade. Nothing is deleted because you downgrade. Stock, sales and till records stay available to view and export, including records above the new plan’s limits. You cannot make new sales or stock changes until you move back to a Retail plan, and moving back restores full use straight away. This is subject to clause 5 and to anything the law requires or allows us to delete or anonymise.

4.4 Before you downgrade. Close open tills, make sure every till has reconnected (clause 13) and download what you need.

4.5 Cancelling. You can cancel at any time. Cancellation takes effect at the end of the period you have paid for. We do not give refunds for the period already paid, except where the law requires.

5. Your records: export, keeping and deletion

5.1 You can export your records from the product while your account is active, and you can ask us at erp@pariodigital.com to help you with an export.

5.2 If your trial ends without a plan, or you cancel, or your subscription ends, we keep your workspace for a limited period after your account ends so you can export it, after which it is deleted or anonymised, except for anything the law requires us to keep. You can ask us in writing at erp@pariodigital.com to delete your data sooner, subject to the law.

5.3 Keeping your business and tax records is your responsibility. The law may require businesses to keep tax records for a minimum period. Export and keep your own copies before your account ends.

5.4 Backup copies may remain for a limited period after deletion.

5.5 Personal data about your customers and staff is handled as set out in clause 15.

6. Using stock control and the till

6.1 Stock control and the till are part of Retail plans (and available in the free trial). They help you list products, count stock, record sales and print or share receipts.

6.2 Limits for shops, tills, products and staff logins depend on your plan. If you reach a limit you cannot add more of that item, but your existing sales and records are not deleted.

6.3 You are responsible for the accuracy of the products, prices, tax categories, stock counts and costs you enter, and for checking that the till is set up correctly for your shop before you sell.

6.4 Retail plans are not yet designed for restaurants or pharmacies.

7. Your responsibilities as a merchant

7.1 You are responsible for your own business: what you sell, your prices, your sales to your customers, your refunds and returns, your taxes and your records.

7.2 RHEKIAN is a tool. We are not a party to any sale between you and your customer, and we do not guarantee that a customer will pay.

7.3 You must follow the laws that apply to your business, including tax, consumer protection, data protection and rules on sending messages.

7.4 You must keep your login details, your devices and your staff PINs safe and tell us promptly at erp@pariodigital.com if you think someone has accessed your workspace without permission.

8. Tax settings and no tax advice

8.1 Tax rates, tax categories, VAT-registration status, price display and rounding in RHEKIAN are settings that you choose and control.

8.2 RHEKIAN includes Ghana tax settings, but rates and rules can change, and some goods and services are taxed differently. Check your setup with your accountant or the Ghana Revenue Authority.

8.3 RHEKIAN’s receipts, reports and tax summaries are tools to help you keep records. They are not tax advice. You are responsible for deciding whether and how to charge tax, for registering where the law requires, and for filing correct returns.

8.4 To the extent the law allows, we are not responsible for tax, penalties or interest that result from your settings, your data, or changes in tax rules.

9. SALES RECEIPT status

9.1 Receipts printed, downloaded or shared from RHEKIAN are titled “SALES RECEIPT”. They are your shop’s sales records. If your shop is VAT-registered, they show the tax included in the sale.

9.2 A RHEKIAN receipt is a sales record. It is not a document issued through the Ghana Revenue Authority’s certified invoicing system, and you must not describe it as a tax invoice or fiscal receipt.

9.3 If you are registered for VAT, you remain responsible for issuing tax documents in the way the law and the Ghana Revenue Authority require, and for checking with your tax adviser how that applies to you.

9.4 We may add or change receipt features to follow legal or Ghana Revenue Authority requirements.

10. Payments are recorded, not processed

10.1 The till lets you record how a sale was paid: cash, card, mobile money, bank transfer or another method you set up.

10.2 RHEKIAN does not process, collect, hold, route or settle those payments, and is not a bank or payment provider.

10.3 Card payments are taken on your own card machine or card provider. You record only the card type, the approval reference and, if you choose, the last four digits. Mobile money and bank payments are made by your customer directly to you; you record the reference. Do not type a full card number, expiry date or security code into RHEKIAN. RHEKIAN does not ask for or store them.

10.4 You are responsible for checking that money has reached you. Your card machine, mobile money account and bank are provided under their own terms, not ours.

11. Refunds, returns and your sales to your customers

11.1 Your refund, return and exchange policy is your own. RHEKIAN is not a party to the sale between you and your customer and is not responsible for your refunds, exchanges, product quality or your customer’s rights.

11.2 Your policy should not remove your customers’ legal rights.

11.3 Refunds recorded in RHEKIAN adjust your stock and sales records. Money is returned by you to your customer, not by RHEKIAN.

12. Staff accounts, cashier PINs and activity records

12.1 Every person who uses your workspace should have their own login. Do not share logins or PINs.

12.2 You are responsible for activity under your staff accounts and for removing access when someone leaves.

12.3 RHEKIAN keeps activity records of actions such as sign-ins, PIN use, price changes, discounts, refunds, stock changes and shift closing, with the person and time.

12.4 You must tell your staff that their activity is recorded.

13. Using the till without internet; devices

This clause applies when the offline till feature is available in your workspace. The offline till is not available yet; we will update this page when it ships.

13.1 If you use the till without internet, sales are saved on that device and sent to RHEKIAN when the connection returns. Until then they exist only on that device.

13.2 Keep devices charged and locked, and reconnect at least daily. Some actions, such as adding new products, need internet.

13.3 If a device is lost, stolen, reset or damaged before its sales are sent, those sales may be lost and we may not be able to recover them.

14. Reports are management information

Stock values, cost of goods, profit, margin and similar figures in RHEKIAN are calculated from what you enter. They are management information to help you run your business. They are not audited accounts and not a tax computation. Check them with your accountant before relying on them for statements, loans or tax.

15. Personal data and data processing

15.1 Your roles. For personal data you put into your workspace about your own customers, staff and suppliers, you are the controller and we act on your behalf as your processor. For account, billing and demo-request data about the people who use RHEKIAN or contact us, we are the controller. See our Privacy Policy.

15.2 Your duties. You must have a lawful reason to collect the data; tell people what you collect and why; collect only what you need; not enter sensitive information such as health details, or information about children, unless you have a lawful reason and any consent the law requires; get prior consent before sending marketing messages; meet any data protection registration duties that apply to you; and answer your customers’ requests to see, correct or delete their data.

15.3 Our commitments as your processor. We process this data only to provide RHEKIAN to you and on your instructions; keep it confidential; protect it with appropriate security measures; use service providers (hosting, email delivery, messaging) only as described in the Privacy Policy; tell you without undue delay if we become aware that your customers’ or staff data has been accessed by an unauthorised person; help you answer your customers’ requests; and, at the end of the service, return or delete the data as set out in clause 5.

15.4 Transfers. Our service providers may store and process information outside Ghana. See the Privacy Policy.

16. Sending messages from your own accounts

16.1 You can save your own email settings. Sending documents from them is coming soon. WhatsApp messaging is coming soon and is not available yet. When either ships, you are the sender.

16.2 You are the sender and the controller of the recipients’ data and of the messages. We send only on your instruction and on your behalf.

16.3 You must have a lawful basis for each message and, for marketing, the recipient’s prior consent (opt-in) as the law and the messaging service’s own policy require. You must give a clear way to opt out and stop sending to anyone who opts out.

16.4 You are responsible for your mail server, domain, email account and WhatsApp account, including their own terms, limits and costs, and for keeping your connection details correct.

16.5 We use your connection details only to send messages on your behalf.

16.6 Your mail server, the recipient’s email provider and the WhatsApp service handle messages under their own terms, not ours. We do not guarantee that any message is delivered, opened or read.

16.7 You must not use these features to send anything unlawful, deceptive or misleading, anything that pretends to come from someone else, unsolicited bulk messages, or requests for full card numbers or similar sensitive details.

16.8 WhatsApp is a trademark of its owner. RHEKIAN is not affiliated with or endorsed by it.

17. Acceptable use

You agree to use RHEKIAN ERP lawfully and in line with these terms. Do not attempt to disrupt the service, probe or abuse other customers’ data, upload malware, or use the product for fraud or illegal activity. We may suspend or terminate access if we reasonably believe these rules are broken.

18. Suspension

We may suspend or limit your access, or any part of RHEKIAN (including custom email and WhatsApp messaging), if we reasonably believe that you are breaking these terms or the law, that your messages are unlawful, deceptive or unsolicited, or that your account is being misused or puts the service or other customers at risk. We will tell you why where we can and where the law allows. Suspension does not delete your records; clause 5 applies.

19. Your account and data

You are responsible for keeping login credentials secure and for activity under your account. You retain ownership of the business data you enter. You grant us the limited rights needed to host, back up, and display that data so we can provide the service. See our Privacy Policy for how we handle personal information. Personal data about your customers and staff is handled as set out in clause 15.

20. Availability and changes

We work to keep RHEKIAN available but do not guarantee uninterrupted access. We may improve, change, or discontinue features. Where a change materially reduces a paid plan, we will give reasonable notice when practical. We may also change features, or ask you to change settings, to follow the law or the requirements of the Ghana Revenue Authority or another regulator, and we will give notice where practical.

21. Limitation of liability

RHEKIAN ERP is provided on an “as is” and “as available” basis to the extent allowed by Ghanaian law. Pario Digital is not liable for indirect, incidental, or consequential losses (including lost profits or data) arising from use of the service. Our total liability for claims relating to the service in any twelve-month period is limited to the fees you paid us for RHEKIAN ERP in that period, except where liability cannot be limited by law (for example death or personal injury caused by negligence, or fraud).

22. Governing law

These terms are governed by the laws of Ghana. Courts in Ghana have exclusive jurisdiction, without prejudice to mandatory consumer protections that may apply.
